How to add Revenue Service Request Card

What is a Request Card?

These are cards that are created by either:

  • Creating a Revenue Service Request from your original tax filing; OR
  • Adding a New Request from the Request Workflow Board

These cards are found on the Request Workflow board. When you click on a card, you will see the following:

The functionality is very similar to the Filing Card, with the following exceptions:

FieldDescription
TitleThe title added to the request upon creation. This can be edited from within a card. The updated title will display on the board.
Case numberThis refers to the number allocated to your audit/ verification by the revenue service. This can be edited as well.
Due dateThis displays the due date set during creation. If you receive any extension to your deadline, this field can be updated to reflect it.
Days to deadlineThis calculates how many days are left to the deadline from today to the due date set.
PriorityCategorise your request ito priority, i.e. High, Medium or Low
Assigned toWhich user this request will be assigned to
Time to finalisationThe time to finalisation is an automatic calculation letting you know the time frame in which the request must be finalised.
Date request initiatedThe date initialised field is from when the correspondence from the request is received from SARS
Date resolvedThe date resolved field is based on the finalisation letter received from SARS
Number of days to finaliseDate received is based on the finalisation letter which automatically calculates and displays the number of calendar and working days respectively
ValueThe manually entered value of the refund or payment amount

How do I create a Revenue Service Request?

On a tax filing card, click on the ‘Revenue Service Requests’ tab:

Click on the + to “Create Revenue Service Request”:

Complete all the information in the pop-up:

Once completed, click on Save.

Once created:

  • The Revenue Service Request will appear on the Revenue Service Request tab:
  • A card for this request has been created on the Request Workflow board:

Add New Request

Completing a submission of a return is not necessarily the end of a process. In certain instances, the revenue authority will question aspects of your submission, through the means of a tax audit or verification. Some of these requests can occur years after a return has been submitted, and requires someone to understand the request, go back to the original return and respond accordingly. These requests also come from different revenue authorities, across different jurisdictions, which adds to the complexity in managing these requests. It is thus imperative that an organization is able to manage these queries, and track the process through to being resolved. Having the ability to capture these ad hoc requests and manage the workflow and completion ensures that the organization has a complete view and record of all ongoing audits and verifications, and ensure that these are addressed timeously and appropriately.

Adding a New Request

For those ad hoc requests that are not linked to a tax filing that’s already included in Konsise, you can create a request as follows:

On the left hand navigation bar, click Workspace and select Request Workflow:

You will see the Add New Request button just under the “Request Received” heading in the first swim-lane. Click on the “+ Add New Request” button:

On the pop-up, select the type of Request you would like to create, based on your requirements. There are 3 types of Requests that can be created:

  • Tax Audit
  • Tax Verification
  • Tax Investigation
  • There is also an “Other” option, where you can define your own request type, if the above is not suitable:

Categorizing your requests also allows you to track progress of different request types in your Request Report. Navigate to Reports—Request Report on the left hand navigation bar to find this report.

Complete the details in the second pop-up:

The information requested in the second pop up relates to the following:

Once the pop-up is completed, Click Save.

A new Request Card will be created on the Request Workflow Board for the request just added. This request will appear in the “Request Received” column.

I can’t see my card on the Request Workflow Board. What do I do?

If the due date of your card is outside the Period filter that is displayed on the board, then your card will not appear on the board. Please adjust the period filter to include the due date on the card you have created.

Clicking on the card will take you to the detailed view of the card. Here you will find all the usual card functionality of Konsise, which will allow you to manage your audit successfully.
